Job Introduction

The Work Permit Specialist is responsible for managing the end to-end work permit and employment authorisation process for the Company’s employees.

The role involves coordinating new applications, renewals, changes to employment, transfers, extensions and other work authorisation requirements, while ensuring that all employees maintain valid documentation and that the Company remains compliant with applicable Maltese immigration, employment and regulatory requirements.

The Work Permit Specialist will work closely with employees, HR, Recruitment, Payroll, Operations, Management and relevant government authorities and external service providers to ensure that work permit and employment licence processes are completed accurately and within the required timeframes.

Role and Responsibilities
  • Manage the full work permit and employment authorisation process for TCN employees, from initial application through to approval, renewal and any subsequent changes.
  • Handle different types of work permits, employment licences and authorisations applicable to foreign employees working in Malta.
  • Maintain an accurate and up-to-date database and tracking system of all employee work permits, employment licences, application statuses and expiry dates.
  • Monitor upcoming permit and document expirations and proactively initiate renewal processes within the required timeframe.
  • Follow up with relevant authorities regarding pending applications, appointments, approvals, outstanding documentation and any other matters affecting the application process.
  • Support the other teams by advising on work permit requirements and documentation before and during the recruitment and onboarding process of TCN employees.
  • Coordinate with Operations and Recruitment regarding expected start dates and ensure that work authorisation requirements are considered before confirming employment commencement.
  • Act as a point of contact for TCN employees regarding work permit and employment authorisation queries.
  • Proactively identify potential compliance risks, delays or issues and escalate them to the HR Manager.
  • Assist with internal and external audits, inspections and requests for documentation relating to employee work authorisations.
Requirements
  • Ability to manage a high volume of employees, applications and deadlines simultaneously.
  • Previous experience in work permits, immigration, employment licensing, HR administration or a similar role would be considered an asset.
  • Strong follow-up and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong problem-solving and organisational skills.
  • Ability to work independently and take ownership of assigned cases.
