Job Introduction

We are looking for a reliable and organised HR & Payroll Administrator to support the day-to-day HR administration function, coordinate employee work permits, and provide administrative support to the Payroll Officer.

The role will be responsible for maintaining accurate employee records, ensuring HR documentation is up to date, assisting with work permit and employment-related processes, and supporting the payroll function through accurate data entry, report preparation, and payroll system administration.

The ideal candidate will be highly organised, detail-oriented, discreet when handling confidential employee information, and comfortable working with HR and payroll systems.

Role and Responsibilities
  • Maintain and update employee personnel files and HR records.
  • Prepare and maintain employment-related documentation, letters, forms, and records.
  • Assist with onboarding and outboarding processes, including preparation and collection of required documentation.
  • Assist with general HR administrative tasks and employee queries.
  • Coordinate and administer employee work permit applications, renewals, and related documentation.
  • Monitor work permit and document expiry dates and ensure timely renewals.
  • Liaise with employees and relevant authorities/third parties regarding work permit requirements.
  • Maintain an accurate work permit tracker and ensure all required documentation is available and up to date.
  • Assist with employment-related registrations, submissions, and other administrative procedures as required.
  • Provide day-to-day administrative support to the Payroll Officer.
  • Input and maintain payroll-related employee data accurately and within required deadlines.
  • Assist in checking payroll information and identifying discrepancies or missing data.
  • Follow up with relevant departments or employees to obtain missing or incorrect payroll information.
Requirements
  • Experience dealing with work permits or employee immigration documentation is an advantage.
  • Strong attention to detail and accuracy,
  • Ability to work with confidential and sensitive information.
  • Good communication and interpersonal skills.
  • Ability to work independently while also supporting the wider HR and Payroll team.
  • Ability to meet strict deadlines,
  • Fluency in English, both written and spoken.
